Submitting an application to enter an invitation into the register of invitations must meet formal requirements – many documents must be collected – either the original or an officially certified copy.
These include: a document confirming the identity of the inviter, documents confirming the ability to cover the costs related to the foreigner's stay and return, and legal title to the premises.
In the event of formal deficiencies, the applicant is requested to supplement the application within the time and place indicated in the request.

The voivode issues a decision on entering the invitation into the register of invitations immediately, no later than 30 days from the date of submission of the application.
The invitation is valid for the period specified therein, not longer than 1 year.
If the Voivode issues a negative decision, the inviting party has the right to appeal to the Head of the Office for Foreigners. The appeal must be filed through the Voivode within 14 days of receiving the decision.
An invitation for a foreigner greatly facilitates the process of applying for a visa to visit someone in Poland. However, it is the inviter who applies for the invitation and demonstrates that they meet strict formal requirements – financial and housing.
